5 days to build or fix your tax pipeline in TaxDome

If you’ve been meaning to finally clean up your TaxDome workflows—or build your tax pipeline from scratch—but never seem to have the time… this is your sign to start.


Maybe you’re overwhelmed, stretched thin, or just tired of the chaos that comes with tax season. You don’t have hours to spare, but you do want a system that works.

So here’s a simple, five-day plan to get your TaxDome tax pipeline cleaned up, organized, and ready to roll.


Day 1: Get a Lay of the Land

Start with a little audit.

  • What do you already know about TaxDome, and where are your gaps?

  • Have you explored all of the latest features? (They’re constantly releasing updates.)

  • Review what you currently have built in TaxDome: what’s working and what isn’t.

  • Spend time cleaning up and archiving what you no longer need (but don’t over-archive, keep what’s still relevant).

Then, map out what you want your ideal pipeline to look like.Pull together your existing templates: engagement letters, proposals with packages, organizers, and note which ones need updates.


Day 2: Build Out Your Pipeline Stages in TaxDome

This is where the fun begins.

  • Start by creating or updating your pipeline stages in TaxDome.

  • Build or refresh your templates: emails, chat scripts, engagement letters, organizers, etc.

  • Add your basic automations into your pipeline. Don’t stress about perfection yet, just get the bones in place.


Tomorrow, you’ll fine-tune and customize.


Day 3: Add Tags and Conditional Automations

Here’s where you make your system smart.

  • Get your tags set up and connected.

  • Add conditional automations to make your pipeline more efficient (for example, different actions for 1040 vs. 1065 clients).

  • Review and clarify your extension process—will it live in your main pipeline or separately?

  • Decide how to handle “paper” or traditional clients and whether you want custom automations for them.


Day 4: Test and Train

Before you roll this out firm-wide, test everything.

  • Create test accounts and sample jobs to run through your full pipeline.

  • Identify any glitches or areas for improvement.

  • Record short Loom videos for your team showing how to use each part of the process.

  • Create a Wiki or SOP to document your new workflow, it’ll save you hours later.


Day 5: Finalize and Launch

You’re almost there.

  • Make sure all client tags, conditional fields, and roles are updated.

  • Archive clients or jobs you’re no longer working with.

  • Update your roles in TaxDome for delegation and team management.

  • Schedule your recurring jobs.

  • Craft and schedule your “Tax Season Kickoff” email to your clients.
